Annual Planner & Activities Recurrence

The Annual Planner is designed to give property managers a full-year view of all scheduled recurring activities, making it easier to plan and manage activities proactively.

Accessing the Annual Planner

  • Click on the user profile icon in the top right corner. Then, in the opened side panel, click on the Annual Planner tab, located next to the Calendar tab.

Viewing Recurring Activities

  • The annual planner displays all recurring activities in a month-by-month grid, with visual cues for scheduled activities.

  • Each row in the Annual Planner represents a series of recurring activities.

  • Click on the series to view detailed information, such as activities names, dates, and assigned users.

  • Click the month’s column to open a breakdown of the activities, including their start and end dates.

Adding a New Recurring Series

  • Click the + (Add) button to create a new recurring activity. This will open the Create Activity form, allowing you to set recurrence parameters

Filtering Activities

  • Use the search bar or filter options to find specific activities based on tags or names.

  • Adjust the year selector to switch between different calendar years for long-term planning.

Editing and Managing Activities

  • Open any recurring activity series to edit its details, update its status, or delete occurrences.

  • You can mark individual activities as complete or adjust their schedules without affecting the entire series.

The Annual Planner displays both already created and future recurring activities. Solid green dots represent activities that are already scheduled, while faded green dots indicate future instances based on your recurrence settings. These future activities are automatically created closer to their scheduled dates.

Activities Recurrence

  • This feature is a powerful tool that simplifies the creation and management of recurring activities. Here’s how to use it:

Creating a Recurring Activity

  • In the Create Activity form, fill in the activity details, including the name, priority, and assignees.

  • Scroll down to the Recurrence section and click Set Recurrence Series to open the recurrence settings.

Configuring Recurrence Settings

  • Recurrence Frequency: Choose how often the activity should repeat—Daily, Weekly, Monthly, or Annually.

    • Daily: Occurs every day.

    • Weekly: Select one or more weekdays and set the interval (e.g., every 2 weeks).

    • Monthly: Specify a fixed date (e.g., the 15th) or a relative date (e.g., the last Wednesday).

    • Annual: Choose a specific date or relative pattern (e.g., the fourth Thursday of November).

  • End Conditions: Decide when the recurrence should stop—never, after a set number of occurrences, or on a specific date.

Saving the Recurrence Series

  • Once the settings are configured, click Create to save the recurring activity. The series will automatically appear in the Annual Planner.

When creating a recurring activity, the first activities are generated based on the recurrence frequency. The total number of activities will vary accordingly: 30 for daily, 4 weeks of activities for weekly, 12 for monthly, and 5 for yearly recurrences. Then future activities are automatically created closer to their scheduled dates.

Editing or Deleting a Recurring Series

  • You can modify an individual activity or the entire series. For series edits, future occurrences are regenerated based on the new settings, while past and edited occurrences remain unchanged.

When editing or deleting a recurring series the system will ask if you want to edit only the selected activity or the entire series. This activity only: changes made will apply only to this specific activity. Future updates to the series will not affect this activity. All activities in this recurring series: all future activities in this series will be updated. Modified, completed, or past activities will remain unchanged.
