More Flexibility for Activities: Due Dates and Assignees are Optional - March 24, 2026

We have updated how activities are managed to give you more flexibility when planning your work:

  • Optional Assignees: You are no longer required to select an assignee for Task activity types. Similarly, you do not need to select an organizer for Event activity types. This allows you to continue capturing activities in Managemate even if you haven't decided who will execute them yet.

  • Tasks Without Due Dates: You can now create Tasks without a defined due date. This gives you the freedom to log tasks that need to be done eventually, without locking them in to a specific timeframe. You can easily keep track of your unscheduled work on the Activities page. You can filter for "Unscheduled" activities on the Table and List tabs.

  • New "Unscheduled" Calendar Tab: To help you manage and eventually schedule these flexible activities, we have added a new Unscheduled tab in the panel that opens when you click the calendar icon on all pages.


Updates to Activities and Management Report - March 13, 2026

  • You can now mark an activity as "Complete" directly while logging an update, saving you extra clicks.

  • When marking an activity as complete, a new prompt allows you to specify the exact completion date. You can quickly select Today, the Due Date, or choose a Custom Date from the calendar. You can also change the specific Management Report section for an activity right at the moment you mark it as complete.

  • You no longer need to click "View All Updates" to get the context you need. The Management Report now displays the entire text of an activity's latest update by default. We have also added a gray background to activity status updates within the virtual Management Report to create better visual separation and make reading easier.

  • You now have the flexibility to remove an activity from the "Completed" section of the Management Report while still keeping the activity itself marked as completed. This can be managed directly from the activity popup or within the report sections.

  • When viewing linked activities in the recently created documents card in the Dashboard, you can now immediately see which Management Report section those activities belong to, providing better context at a glance.


Report Period for the "Completed" Section of Management Report - March 2, 2026

You can now define a specific reporting period directly within the Completed section, giving you more precise control over the activities you view and report when generating the PDF Management Report.

  • You can set a specific start and end date (e.g., Feb 1 - Feb 7) for your completed activities using the new "Reporting Period" selector.

  • The dates you choose are automatically saved. You can navigate away and return without having to re-apply your filters.

  • When you generate your Management Report PDF, the system will now automatically load your saved reporting period. The Completed section in your PDF Management Report will match the Completed section you see on screen.


Active Vendors Contracts in Management Report - February 20, 2026

You can now view a list of all active vendor contracts directly within the Management Report.

  • Where to find it: Navigate to the Activities page > Management Report tab.

  • How it works: This new section automatically lists all contracts marked as active. To add or remove a contract, go to the vendor's page and toggle the contract status to "Active = yes" or "Active = no".

  • Customizing your view: If you prefer not to see this section, in the Management Report tab in the Activities page, click the Settings button next to the filters and uncheck "show Active Vendor Contracts." Hiding this section will also remove it from your exported Management Report PDFs.


Documents Linked Activities - February 20, 2026

Tracking and managing activities linked to your documents is now faster and more detailed.

  • Visibility: You will now see the total number of activities linked to each document. This is visible in both the "Recently Created Documents" section on the Dashboard and the main list on the Documents page.

  • Quick Actions: Clicking on the "[x] linked activities" text opens a detailed view where you can directly manage each activity. Available actions include:

    • Edit: Opens the activity edit pop-up.

    • View: Takes you directly to the activity's view page.

    • Unlink: Removes the link between the activity and the document.

    • Delete: Sends the activity to the recycle bin.

    • Mark as complete: Logs the activity as completed for today.

    • Log an update: Opens a pop-up to quickly add a status update.

  • Adding New Activities: At the top of the linked activities list, the "Add" button allows you to create or select an existing one and link it to the document. From here, you can also log a status update and trigger an instant email notification about the update.

  • For documents with zero linked activities, the option "Add activity or log update" will appear. This will allow to create or select and existing activity to link to the document.


Log Status Updates Faster - February 05, 2026

Previously, you had to navigate to the activity page or use the "More Options" button, after saving to log an update. You can now include a status update the second you log the task, directly within the "Create Activity" popup.


Dashboard and Document Improvements - January 29, 2026

We have released some updates to help you find information faster and reduce the number of clicks needed to manage your work.

  1. No more clicking "Next Page." We have enabled infinite scrolling for Management Report and List tabs in the Activities page, allowing you to scan your activities faster without navigating through multiple pages.

  2. The "Recently Created Documents" section on the Dashboard now displays document tags. We also added options to Edit, View, and Delete documents directly from the home screen.

  3. We added a "Created By" column to the main Documents list. Now you can see who added a document without leaving the page.

  4. On the View Activity page, the creation date is now displayed next to the "Created By" information. This lets you easily identify when an activity was added without searching the changelogs.


Generate a PDF Board Meeting Package - January 26, 2026

You can now generate a complete PDF Board Meeting Package directly from Managemate. This new feature lets you compile your board agenda, prior meeting minutes requiring approval, financial statements, and manager’s report (including links to all supporting documents), in a single, professionally formatted PDF ready to share with directors ahead of meetings.

Board meeting packages are generated consistently and in the correct order, helping directors stay informed, improve meeting preparedness, and reduce last‑minute prep. This makes governance more efficient and ensures everyone is reviewing the same information before decisions are made.

New "Cancelled" Stage for Projects - January 16, 2026

We've added a new "Cancelled" stage for projects to help your condo management team and / or board directors organize the projects in your Workspace.

Here is a description of each project stage option in Managemate:

  • Planning - The planning stage is intended to be used for projects that are currently in sight and being actively planned. Your team may be engaging with a reserve fund engineer to conduct a condition assessment, or you may be considering whether you should get some quotes to get started with the work.

  • In-Progress - The in-progress stage is intended to be used when work on the project is actively underway. This includes actively working with engineers, project managers, trades, staff or residents to prepare for the project start date or while the project work is being undertaken.

  • Completed - The completed stage is used when the project has been completed, for example, when no further work is being performed on the project.

  • Not Active (formerly "Inactive") - The not active stage is meant to be used for projects that are on your radar or have been discussed, but that your management team and board have decided doesn't require any attention or work at the moment. A project that is in a not active stage will still appear in your condo's calendar in Managemate and in other places in Managemate with other activities (e.g., in digest emails). This stage is useful to use to reduce the number of "open" projects so that users don't get overwhelmed with having too many projects to keep track of.

  • Cancelled (NEW!) - The cancelled stage is intended to let you preserve history for projects that your board and/or management team decided to not proceed with. Instead of deleting a project, you can preserve the information you've saved in the project by using the cancelled stage. This keeps your work history while indicating the work isn't moving forward.

We also changed the colour of the Not Active stage to grey (it was previously red), make it easier to distinguish between dormant projects and critical alerts.

Finally, we made a change to help you focus on your active work. Now, by default, the projects section will filter out Completed, Cancelled, and Not Active items. So users will only see "Open" projects, which are projects with the stage of Planning or In Progress.


Rich Text Styling for Status Updates - January 14, 2026

We added rich text capabilities to the status update field in our Activity record type. Our goal with this update is to help you communicate status updates more clearly by giving you the ability to apply font styling and upload images to status updates.

While writing a new status update or editing an existing status update for an activity you can now:

  • Bold text and highlight important details with custom background colors to make your updates pop.

  • Organize your thoughts clearly using both ordered (numbered) and unordered (bulleted) lists.

  • Copy and paste images directly within your status update.

All your new formatting will render as expected in email notifications so everyone sees exactly what your wrote without having to open the activity to view the status update.

Updates to Activity Landing Pages - January 14, 2026

We made some improvements to the activity landing pages. Now, status updates are located immediately below the activity details card to give you more space to read longer updates. Also, together with our new rich text styling abilities for status updates, images in a status update can be clicked and previewed in its full size.

Activity List View and Virtual Management Report View

We made updates to both the List view and the Virtual Management Report view In the Activities section of your Workspace.

In each view, we now display displaying the first two lines of the status update to help you identify important updates at glance. You can view the full content and navigate between all status updates by clicking in the View More option displayed below the status update.


Global Search - December 9, 2025
