How to use tags to find and sort documents

You can add tags to your documents to help you group similar documents together and ensure they are easy to find in the future.

Finding documents by tag

When you click on a tag from anywhere on our site, from the tags section in the dashboard, the tags page, within a project, activity, or documents, a sidebar will pop out from the right displaying every record the tag is attached to.

Once the sidebar pops up, you can click on the “documents” tab to find all your documents under the tag sorted in descending chronological order by date. Documents without a date will appear at the bottom of the list.

After clicking on the “documents” tab in our menu sidebar, you find a row of filter options to help you look for your documents.

To filter a document based on its tags, click into the tags filter, and scroll or type to search for the tag you are looking for. You can add multiple tags to your search query.

Once you have chosen the tags you are filtering for, your documents list will automatically show all documents with the chosen tags.

You can further sort the documents by clicking on the column titles.

Click on “doc date” to change if the documents list is sorted by ascending or descending creation date.

You can also click on the “document name” column title to sort your list by alphabetical or reverse alphabetical order instead.

Adding or removing tags from a document

There are two ways of adding a tag to a document. You can add or remove tags through the tags page, or through the edit page of any document you choose.

If you are removing tags or adding multiple tags, go through the document edit page to adjust them.

Adding and removing tags through the tags page

To add a document to a tag from the tags page, first navigate to the tags page by locating the “tags” tab in the menu sidebar. You will be able to find this tab under “admin”.

The tags page will show you a complete list of tags you have created. To find the specific tag you would like to add a document to, you can scroll, search for, or use our filters to find the tag you are looking for.

Once you have found the tag you are looking for, click the title of the tag. An action list sidebar will pop up from the right displaying every single record attached to the tag.

To add a document to the tag, select “add record”, then “documents” from the drop-down menu.

A search bar will appear, allowing you to search for the document. Once you find the document you are looking for, click the document and it will automatically be added to the tag.

To remove a document from a tag, click the “documents” filter in the action list side bar of your chosen tag. Find the document you would like to remove from the tag, then click the downwards arrow icon for more actions.

Click “remove from tag” from the drop-down to remove the document from the tag.

To add and remove tags from the documents page, navigate to the documents page from our menu sidebar by clicking the “documents” tab.

Use our filter and sort options to help you locate the document you are choosing to adjust. Once you have located the document, click on the title of the document, the “eye” icon, or the edit button.

You will be redirected to the document’s page if you choose to click the “eye” icon or click on the title. If you clicked on edit, a pop-up will appear on the same page.

Scroll to the “document information” section. This will be the second section that appears, under the upload box. The document tags are the last part of the “document information” section.

If you are in the “view” page, meaning you clicked on the title of the document or the “eye” icon, hover over the tags section. An “edit” icon will appear. Click on the “edit” icon.

If you chose to click “edit”, the document information will automatically be in edit mode.

If you are in "edit" mode, you can directly adjust the tags.

To add new tags, begin typing to search for the tag you are choosing to add to the document. Click on the name of the tag to add it to the document.

If you are removing tags, click the “x” next to the tag.

Remember to click save to save your changes.
