Overview
Financial statements are one of the most time sensitive records a board receives. Managemate sends an instant notification when a financial statement is saved in a condo's Managemate Workspace, so directors and managers do not have to wait for a digest or a manual email from the management team.
This article explains when the notification is sent, who receives it, which channels it uses, and how it differs from the daily and weekly digests.
What triggers a financial statement notification
Managemate sends the notification in two situations:
A new document is created with the document type Financial Statements. This includes documents created in the app and documents created by email using the condo's financial statements email address.
A new file is added to a document that already has the document type Financial Statements. This covers the common case where a document is created for a fiscal period and files are added to it over time.
The notification is sent each time either event happens. If three files are added to the same financial statement document on three different days, three notifications are sent.
What does not trigger the notification
Changing the document type of an existing document to Financial Statements does not, on its own, send a notification.
If you are migrating or reorganizing older records and do not want to notify the board, you can:
Create the document with the document type General Document
Upload all of the files
Save the document
Edit the document again and change only the document type to Financial Statements
Who receives the notification
Any user with access to the condo who has the Financial Statement Change notification turned on will receive it.
Notification settings are set per user and apply across all of the condos that user has access to.
Which channels are used
The Financial Statement Change notification is sent in real time on all three channels:
Email is sent immediately, not as part of a digest
In-app appears in the notification bell inside Managemate
Push is sent to your mobile device
This is different from most Managemate notifications. New records normally reach you by email only once per day, as part of the daily digest. Financial statements are sent right away.
On mobile: Push notifications only work on mobile devices. To receive them you must have the Managemate mobile app installed, be signed in, and allow notifications in your phone settings.
How this differs from the digests
Financial Statement Change is sent instantly, every time a financial statement document is created or a file is added to one
The weekly digest is sent every Friday at 5 pm and includes documents of type Financial Statements and Certificates created that week
The daily digest is sent once per day and covers newly created records more generally
A financial statement can appear in an instant notification and again in that week's weekly digest. This is expected. The instant notification tells you a statement is available now. The weekly digest gives the board a summary of the week.
How to turn the notification on or off
Log in to your Managemate account
Go to User Profile by clicking your user profile icon in the top right of any page, then selecting View Profile
Select the Notifications tab
Find Financial Statement Change
Turn Email, In-app, or Push on or off
Green means on. Grey means off.
You can also go directly to your notification settings.
Before you save a financial statement
Saving a document with the document type Financial Statements, or adding a file to one, notifies every user in that condo who has the setting turned on. Keep this in mind when you are:
uploading a batch of historical statements
replacing or correcting a file that was uploaded in error
reorganizing existing records
If you are adding older statements the board has already seen, consider letting them know first, or use the General Document approach described above.
