Capturing Issues During an Inspection

Learn how to document issues while conducting an inspection at your property, including by taking pictures, describing each issue and reviewing your inspection results.

Screenshots of Managemate's mobile application are used in this help article because inspections are normally conducted in the field / on-site at a property with a user's mobile phone.

When working with inspection activities on a laptop or desktop computer, similar steps apply.

1. On any page in Managemate, open the Calendar in your condominium's Workspace by clicking on the calendar icon in the top right of the page.

The calendar may be visible on your page without having to click the Calendar icon if you're in the Dashboard on a laptop or desktop computer with a large screen.

2. Navigate to the inspection activity you want to work with by clicking on the Name of the inspection activity, or by selecting the View option that appears when you open the actions menu for that activity.

By clicking on the name of an activity or the view option in the actions menu of an activity, you will be taken to the landing page for that activity.

3. In the Landing Page for the inspection activity, click the Issue Capture Panel button.

You can also open the Issue Capture Panel by clicking the More button and then selecting the Issue Capture Panel option in the menu that appears.

The issue capture panel is optimized for mobile phones, making it easy to capture pictures and enter basic information for each issue that you want to add to the inspection.

Each issue that is captured is saved as a Document in your condominium's Managemate Workspace.

  • The issue document is automatically linked to your inspection activity as can be viewed in the Documents Tab in the activity landing page.

4. In the issue capture panel, click the Add New Issue button.

5. In the Create Issue Document popup, enter the Name of the issue, add a Description (optional), apply Tags (optional) and add images by using your device's camera or by selecting photos from your device.

6. Optionally, you can apply a yellow star to an image or add a file description.

You can preview each image by clicking on the file name.

The Inspection Report PDF that can be generated from an inspection activity will include each issue's name, image(s) and any details added such as the tags, descriptions and yellow stars.

7. Click Create to save the issue.

8. The Issue Capture Panel will refresh and display the issue that was created.

Continue capturing issues by clicking the Add New Issue button.

9. Edit any issue by clicking on the More button and selecting the Edit option that appears.

10. Close the Issue Capture Panel at any time by clicking the Close button at the top right of the issue capture panel.

When the issue capture panel is closed, you will return to the landing page for the inspection activity.

See all issues that were captured as part of the inspection by re-opening the issue capture panel, or clicking on the Documents tab of the activity.
