Creating a Task Activity from an Issue

Issues that need to be resolved can be actioned in Managemate and tracked to completion.

Screenshots of Managemate's mobile application are used in this help article because inspections are normally conducted in the field / on-site at a property with a user's mobile phone.

When working with inspection activities on a laptop or desktop computer, similar steps apply.

๐Ÿ‘‰ Use these steps when youโ€™ve identified an issue during an inspection and want to assign or track the work to resolve the issue.

How it works

In Managemate:

  • Issue document = what you found during your inspection

  • Task activity = what needs to be done to resolve it

You are taking an issue from your inspection and turning it into a task activity that can be tracked or sent to SparcPro.

Step 1 - Open your inspection

There are several ways to open your inspection activity in Managemate.

For instance, open the Calendar then navigate to the inspection activity by clicking on the name of your inspection.

Step 2 - Find your issue

1. Go to the list of documents linked to the activity, by clicking the Documents tab when viewing the inspection activity.

2. Find the issue you want to action.

Step 3 - Create a task activity

1. Click the linked activities link that's displayed in the issue you want to action.

2. Click the Add button to create a new task activity and link it to the issue.

3. Create a new task activity by clicking in the Linked Activity field and selecting the Click to Create New Activity option that appears in the dropdown menu.

4. Give the new task activity a Name (e.g., "Repair the damaged fence") and click Create.

  • Entering additional details is optional, but you may select relevant tags, specify the assignee for the task, and specify (or clear) the due date.

Step 4 - Save the new task activity

Save the new task activity by clicking Save in the Add Activity or Log an Update popup.

Alternative (faster) method

Instead of starting from an issue, you can:

1. In the Dashboard, choose the option "Create an Activity (Task)" option in the Create New dropdown.

2. In the create new activity popup, enter the task name

3. Use the "Linked Documents" field to find and select one or more existing issues

4. Click Create to save the new task activity

This is especially useful when grouping multiple issues together (e.g., landscaping).

Grouping multiple issues into an existing task

1. Open the task activity

  • For instance, click on the activity name in the chicklet that appears after you created the activity, or by finding it in the calendar.

2. In the Documents tab, add one or more additional issues to the activity by clicking on the Add Documents button and selecting Add Existing Documents.

What happens next

โœ… Once created:

  • Your task activity will appear in your calendar

  • It stays linked to the original issue

  • You can now send the task to SparcPro or track it to completion
