Managemate provides all the essential fields you need when creating an activity, making it easy to capture all important details for condo operations.
Option 1: Creating a New Activity from the Dashboard of the Managemate Application
Click the create new dropdown
Select Create an Activity (choose if task or an event).
Fill in the activity creation form.
Click the create button to save the activity.
Option 2: Creating a New Activity from the Activities Section of the Managemate Application
Access the activity section from the left-side menu.
Click the Create Activity button.
Fill in the activity creation form.
Click the create button to save the activity.
Option 3: Creating a New Activity from the Calendar
Click the calendar icon in the top-right corner of the page
Click on the date where you want the activity to start
Select the green + icon to create a new activity.
Fill in the activity creation form.
Click the create button to save the activity.
Description of the Fields in the Activity Creation Form
Here’s a quick overview of the fields you will see in the activity creation form and what they’re used for
Task - is a type of activity that needs to be completed. Selecting this option, assignee field will appear, where you can choose which user(s) will handle the task
Event - is a type of activity that is scheduled to take place on a certain date, like a meeting. Selecting this option, organizer field will appear, where you can choose which user(s) included in that event
Activity Name (required) – enter the activity name or title
Flag – toggle the flag icon if the activity requires special attention.
Activity Description – enter the details or purpose of the activity.
Tags – add one or more tags to categorize, identify, and easily retrieve the activity. You can also create new tags within the form.

Start Date – add the start date of the activity if you want to specify when it begins.
Due Date (required) – enter the completion date (for tasks) or scheduled date (for events)
Note: Activities will appear in the Calendar based on the due date (if no start date is set).
Assignee/ Organizer – select one or multiple users (including yourself) to assign the activity.
Linked Documents – link the activity to one or more related document records to keep everything centralized, accessible, and organized for smoother activity management. (e.g., meeting minutes, agendas, and financial statements for a “Board Meeting” activity) You can search for and link existing documents, or create a new document (including uploading its files) without leaving the form. See the section “Creating and Uploading a New Document Within the Activity Creation Form” below.
Linked Vendors – link the activity to a related vendor to easily keep everything centralized, accessible, and organized for smoother vendor management. (e.g., Bell Canada, 4Seasons HVAC Solutions, Begley Overhead Doors, etc.)
Cost Estimate – provide an estimated cost and a description if needed.
Recurrence – set the activity to repeat daily, weekly, monthly, or annually. Managemate creates the first batch of activities when you save the series and adds the rest automatically over time.

Tip: If the activity is already complete at creation, select a completion date and click Mark as Complete.
Creating and Uploading a New Document Within the Activity Creation Form
You do not need to save an activity first and then reopen it to upload documents. You can create a new document, including uploading its files, directly within the activity creation form.
In the activity creation form, scroll to the Linked Documents section.
Click the search box and begin typing the name you would like to give the new document.
At the top of the list that appears, select the green “Click to Create New Document” option.
A Create Document panel will open within the form. Drag and drop your files, or click the Browse button to upload them.
Fill in the document information (document date, and any description or tags you would like), then click the green checkmark to save it.
The new document will appear in the Linked Documents section of the form. When you click the Create button to save the activity, the document is created and linked to the activity automatically.
Tip: You can add more than one document this way, and you can still search for and link existing documents from the same search box.
