How to Create a Project in Managemate

Managemate’s Projects feature can be used to plan and track work that takes place over a period in your community association or condominium. This includes capital projects, larger property repair & improvement initiatives, important events, regulatory or legal processes, or other work that involves several steps before it can be completed.

Option 1: Creating a Project from the Dashboard of Managemate Application

  1. Click the Create New dropdown.

  2. Click Create a Project

  3. Fill out the Create Project Form

  4. Click the Create button to save

  1. Go to the Projects section in the left-side menu.

  2. Click Create a Project

  3. Fill out the Create Project Form

  4. Click the Create button to save

Description of the Fields in the Create Project Form

Project Summary

  • Project Name (Required) - Enter the project name.

  • Stage: Select the current stage:

    • Planning – Work is being planned (e.g., gathering quotes, setting schedules). Construction or major activities haven’t started yet.

    • In Progress – Work is underway. Tasks and milestones are being assigned and are in progress, or completed.

    • Completed – All work and deliverables are finished.

    • Inactive – The project is paused or on hold, with no ongoing work.

  • Project Coordinator - Assign a user responsible for keeping the project up to date.

  • Priority - Define the importance of the project (Low, Medium, High).

  • Tags - Add tags to help categorize and identify documents easily. You can also create new tags within.

Project Description

  • Objective - The objective defines the main goal of the project, answering “Why are we doing this?” For example: “Replace the building’s roof to prevent leaks and improve insulation” or “Organize the annual community meeting to update all owners.” Clear objectives keep the project focused and aligned with results.

  • Scope - The scope sets the boundaries of the project, what is included and excluded. For example: a roof replacement may include removing old materials, repairing structural damage, and installing new shingles, but exclude interior repairs. An annual meeting may cover booking the venue, arranging catering, and distributing minutes, but exclude resolving individual unit issues.

Project Dates

  • Set the planned start and end dates. These can be updated later if the schedule changes.

Activities

  • You can link activities to track a project’s progress, showing what has been completed and what is still pending (e.g., a Rules Revision project might include activities such as Create Draft, Send Update, Review Rules, etc.).

  • Use filters to quickly view activities by status and updates. You can also create or update activities directly in this section.

Budget Estimate

  • Helps you plan and track expected project costs.

  • Click the Add Cost Estimate. Fill the following fields

    • Cost Name (Required)

    • Cost Description

    • Cost Estimate

    • Estimated Payment Date

    Note: You may see a cost summary in this section, all cost items you enter will be summarized in this section:

    • Other Cost Estimate – Displays the cost estimates you’ve added. The total increases as you add more cost estimates.

    • Activities Cost Estimate – Shows the total cost estimates of all activities linked to the project.

    • Total Budget Estimate – The combined amount of Other Cost Estimates and Activities Cost Estimates.

Project Vendors

Link vendors to the project to track their work, fees, and performance.

Add Invoices to Project

Add invoice records to track expenses and compare them against the project budget.

Add Documents to Project

Link a project-related documents to keep everything centralized, accessible, and organized for smoother project management.
